Document Library - Configure Versioning Control in SharePoint Online Step by Step

When multiple authors work on the same document, edits are retained on the server as document versions. To limit server storage usage, you can limit the number of retained versions. If you enable major versioning in a document library that contains OneNote notebooks, we recommend that you specify the maximum number of versions so you can use disk space more efficiently.

SharePoint versioning helps protect documents and prevent data loss by allowing authors to roll back to a previous document version when the current version contains unwanted changes.



To enable versioning

Step 1: Browse to the document library that you want to configure.

Step 2: In the Gear icon, choose Library Settings option.


Step 3: In General Settings, choose Versioning settings link.

Step 4: In Document Version History Page, select Create major versions checkbox

Step 5: To specify a version retention limit, select Keep the following number of major versions and in the text box, type the number of versions. and click OK

configuration has been done.

To Restore Previous Version
Step 1: Select document in Document Library

Step 2: Click on context Menu  or Click three Dots on Toolbar, 


Step 3: Select Version History option, it will open Version History page


Step 4: click on Modified Date Context menu of version which you want to restore again, than click on Restore Option.



File will be restored, with newer version number.
